Team
The Team tab in Company settings is where you manage who has access to your LogLoon company account.
Viewing Your Team
The Team tab displays:
- Team Members - All active users with their name, email, and role badge
- Pending Invitations - Invitations that haven’t been accepted yet, with expiration status
Inviting Users
Admins and Managers can invite new team members. The invite dialog takes several people at once:
- Go to Company settings
- Click the Team tab
- Click Invite Member
- Enter an email address for each person, one per row
- Select each person’s role (Field Worker, Manager, or Admin)
- Click Send Invitation
To invite a whole list at once, paste the emails — separated by commas or spaces — into an email field. They fan out into one row per person. Set roles individually per row.
Each invitee receives an email with instructions to create their account and join your company.
If some invites fail, only the failed rows stay in the dialog. Fix the addresses and resend.
Workers (No App Access)
Some crew members don’t have email addresses and never open the app. Add them as workers so managers can enter time on their behalf:
- Go to Company settings
- Click the Team tab
- Click Add Workers
- Enter each worker’s name (phone number is optional)
To add a whole crew at once, paste a list of names — one per line — and rows fill in automatically.
Workers can’t sign in. They show a No app access badge in the Team list. But they appear everywhere people do: time entry pickers, project teams, workforce scheduling, and reports. Managers enter time for them from the web — see Time Approvals for manual entries.
A few things to know:
- Workers count toward your plan’s user limit
- Removing a worker keeps their existing time entries
- A worker can’t be converted to a login account. If someone eventually needs the app, remove the worker first, then send them a normal email invite — that order keeps you from paying for two seats for the same person.
Their old time entries stay on the worker record either way. They keep the same name on reports, but they won’t show up under the new login account.

Changing Roles
Only Admins can change a user’s role:
- Find the user in the Team list
- Click Change Role
- Select the new role
- Changes take effect immediately
You cannot change your own role.
Removing Users
Only Admins can remove team members:
- Find the user in the Team list
- Click the trash icon
- Confirm removal
Removed users can no longer access your company. Their historical data (time entries, reports, etc.) is preserved.
Pending Invitations
Invitations that haven’t been accepted appear in the Pending Invitations section. Each shows:
- Email address
- Who sent the invitation
- Expiration countdown
Admins can revoke pending invitations by clicking the X button.
