Cost Codes

Cost codes help you categorize time entries and track progress by work type (e.g., Electrical, Concrete, Framing).

Viewing Cost Codes

Go to Company and select the Cost Codes tab to see all your company’s cost codes in a table showing:

  • Code - The cost code number (e.g., 1000, 2600)
  • Description - What the code represents (e.g., “Concrete Foundations”)
  • Unit - The unit of measure for progress tracking, or “Labor Only”

Codes sort in natural numeric order, so 900 comes before 1000.

Adding Cost Codes

Only Admins can add, edit, or delete cost codes.

Add from Library

LogLoon includes a starter library with 50+ common construction cost codes:

  1. Click Add from Library
  2. Browse categories (Site Work, Concrete, Electrical, etc.)
  3. Check the codes you want to add
  4. Click Add Selected

Add Custom

To create your own cost code:

  1. Click + Add Custom
  2. Enter the Code (e.g., “1000”)
  3. Enter a Description (e.g., “Concrete Foundations”)
  4. Select a Unit (optional - for progress tracking)
  5. Click Save

Paste Import

Already have your codes in a spreadsheet? Paste them in:

  1. In Excel or Google Sheets, copy your rows — code, description, unit, one code per line
  2. Click Paste Import and paste the rows
  3. Review the preview — it shows what will import and skips duplicates automatically
  4. Click to import the batch

Duplicate a Code

Click the duplicate icon on any row to start a new code with the same description and unit prefilled. Enter the new code number and save.

Units

Units are used for task-based progress tracking. When you create tasks with budgeted quantities, the unit comes from the cost code.

Select Labor Only if the cost code is just for tracking hours without material quantities.

Editing Cost Codes

  1. Find the cost code in the table
  2. Click the pencil icon
  3. Update the fields
  4. Click Save

Deleting Cost Codes

  1. Find the cost code in the table
  2. Click the trash icon
  3. Confirm deletion

How Cost Codes Are Used

Cost codes appear throughout LogLoon:

  • Time Tracking - Workers select a cost code when clocking in
  • Tasks - Link tasks to cost codes for progress tracking
  • Reports - View hours and progress by cost code
  • Exports - Include cost codes in payroll exports
