Time Approvals

The approval process ensures time data is accurate before it goes to payroll.

Who Can Approve Time?

Only Admins and Managers can approve time entries. Field Workers cannot approve time.

Approving Time Entries

  1. Go to the Time tab
  2. Filter by status to see Submitted entries
  3. Click on an entry to open the details
  4. Review the information
  5. Click Approve Entry

Entries are approved one at a time. If something looks wrong, you can edit the entry or delete it.

What to Review

Before approving, verify:

  • Hours - Do the hours worked seem reasonable?
  • Project - Is this the correct project?
  • Cost Code - Is the right cost code selected?
  • GPS Location - Was the worker at the job site?
  • Flags - Check for injury reports or timecard accuracy notes

After Approval

Approved time entries:

  • Are locked and cannot be edited
  • Are ready for export to payroll
  • Count toward project progress tracking

Manual Time Entries

For crews that don’t use the mobile app, Admins and Managers can create time entries manually from the web.

Creating Manual Entries

  1. Go to the Time tab
  2. Click + Add Time Entry
  3. Select a project
  4. Select a cost code
  5. Select workers (you can select multiple - up to 20 at once)
  6. Enter hours worked
  7. Optionally add a description or select equipment used
  8. Click Create

Manual entries are automatically approved and marked with a 🖐️ indicator so you can distinguish them from clock in/out entries.

Tips

Approve Regularly

Don’t let approvals pile up. Approving daily or every few days keeps things manageable and ensures accurate payroll.
