Progress Tracking
LogLoon tracks two types of progress for each cost code on a project:
- Time Progress - Hours worked vs. budgeted hours (from clock in/out)
- Task Progress - Installed quantity vs. budgeted quantity (from tasks)
All progress is calculated automatically—there’s no manual “percent complete” to enter.
Time Progress (Labor Hours)
Track how many hours your crew has spent against the budgeted hours for each cost code.
Setting Up Time Budgets
- Go to your project’s Overview tab
- Find the cost code in the “Progress by Cost Code” section
- Click the ⋮ menu and select Edit Budgets
- Enter the Budgeted Labor Hours
- Click Save
How Hours Are Tracked
When crew members clock in:
- They select a cost code for their time entry
- Hours are recorded when they clock out
- Once the time entry is approved, those hours count toward progress
Progress = Approved Hours ÷ Budgeted Hours
For example, if you budgeted 100 hours for Electrical and your crew has logged 45 approved hours, you’ll see:
- Time: 45 / 100 hrs (45%)
Task Progress (Material/Scope)
Track installation progress by linking tasks to cost codes and setting quantities.
Setting Up Task Budgets
- Go to your project’s Tasks tab
- Create a new task or edit an existing one
- Assign a Cost Code to the task (the unit comes from the cost code, set in Company settings)
- Enter the Budgeted Quantity (e.g., 500 SF of drywall)
Updating Installed Quantity
As work is completed, update the installed quantity:
- Open the task
- Update the Installed Quantity field
- Save the task
How Task Progress Is Calculated
All tasks linked to a cost code are summed together:
Progress = Total Installed ÷ Total Budgeted
For example, if you have three drywall tasks:

Viewing Progress
Project Overview
The Progress by Cost Code section on the Overview tab shows both time and task progress for each cost code:
- Time progress bar - Hours used vs. budgeted
- Tasks progress bar - Quantities installed vs. budgeted
Click to expand each section and see the individual time entries or tasks.
Overall Progress
At the top of the Overview tab, you’ll see overall project progress:
- Time - Total hours across all cost codes
- Tasks - Total quantities across all tasks
Best Practices
Set Realistic Budgets
Your budgeted hours and quantities should reflect actual estimates. Progress tracking is only useful if the budgets are meaningful.
Approve Time Regularly
Only approved time entries count toward progress. Review and approve time entries promptly so your progress numbers stay current.
Update Installed Quantities
Encourage your team to update installed quantities as work is completed, not just when tasks are finished. Partial progress is valuable information.
Use for Billing
Progress tracking gives you documentation to support progress billing invoices. The data shows exactly how much work has been completed.
