Item 23 on the GC’s punch list reads “outlet cover, corridor near room 312.” The foreman knows roughly where that is. Roughly is the problem — he still has to walk the corridor, compare what he sees to a text description, and decide whether the loose cover plate he’s looking at is item 23 or item 31, which is two doors down and sounds almost the same.
A spreadsheet or PDF punch list is a list of descriptions. It was never going to be a map. Every item on it requires a translation step — text description to actual location — that happens in the foreman’s head, every time, for every item.
What a List Can’t Show You
A punch list item on a spreadsheet has a row: description, location note, status, maybe a photo attached separately. None of that tells you where the item is relative to the sheet the crew is standing in front of. The location is always approximate — “near room 312,” “corridor by the mechanical room” — because a spreadsheet has no way to be more specific than words allow.
Status lives in a column. Photos live in an attachment or a separate folder. Assignment lives in another column. To get the full picture of one item — where it is, what it looks like, who’s on it, what state it’s in — someone is cross-referencing three or four places.
Pinning Punch List Items to the Plan
The Pin Is the Location, Not a Description of One
In LogLoon’s plan viewer, a task gets pinned to the exact point on the sheet where the work is — tap the spot, attach the task. There’s no “near room 312” translation. The pin is on the wall it’s describing, at the location it’s describing, on the same sheet the crew already has open.
Status at a Glance, Color-Coded on the Sheet
Pins are color-coded by task status — gray for backlog, blue for ready, orange for in progress, red for blocked, green for done. A PM looking at a marked-up sheet sees which items are closed and which aren’t without opening a list. A floor with all green pins is a floor that’s actually done. A floor with a cluster of red pins is where the crew needs to go next.
Comments and Photos Live on the Task, Not a Separate Thread
Every pinned task has its own comment thread, and comments can include photos. The before-and-after documentation for a punch list correction — what the item looked like, what was fixed, when — lives with the task itself, not in a separate photo folder someone has to match back to the right item later.
Assigned and Trackable Like Any Other Task
A pinned punch list item is still a task with an assignee. Tap the pin to see the task details and who’s on it. From the task side, view its pinned locations and jump straight to that spot on the sheet. The pin and the task are the same record, viewed two different ways.
Turning the GC’s List Into Pins
The actual workflow for a PM who just received a 40-item punch list: walk the list, and for each item, open the relevant sheet and pin it to the real location — creating a task with an assignee as the pin goes down. Twenty minutes of setup turns a text list into a marked-up set of sheets where every item has an exact spot, a status color, and someone responsible for it.
The sub’s punch list problem is knowing which items are open, which are done, and which zones still need a crew — without calling the foreman to ask. A sheet full of color-coded pins answers that at a glance. The dispute side of punch list — proving which items are actually the sub’s — gets the same benefit: a photo attached directly to the disputed pin is a faster answer than searching a folder for the right image.
The List Was Never the Problem
A punch list app that pins items to the plan doesn’t do anything a spreadsheet couldn’t theoretically track — status, assignment, photos, comments. What it removes is the translation step between what the list says and where the work actually is. The pin is the location. Not a description of one.
